This Privacy Policy explains what personal data thedentalnaukri.com (operated by Sigma Dental Clinic) collects, why we collect it, who we share it with, and what control you have over it. It is written to comply with the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000 and rules made thereunder.
1. WHAT WE COLLECT
Information you give us
Account details: name, email address, phone number, password (stored only as a cryptographic hash — we never store or see your actual password), and role.
Candidate profile data: qualifications and education, dental council registration number and state council, years of experience, clinical procedures you perform, specialities, languages, current and preferred locations, expected salary, willingness to relocate, commute radius, employment history, and any resume or document you upload.
Employer data: clinic name, address, contact details, clinic type, size, description, logo and photographs, and details of the jobs you post.
Application data: the jobs you apply to and your answers to employer screening questions.
Communications: messages you send through the Platform and emails you send us.
Payment data: for employers, the amount, date, and a payment reference for each purchase. Card numbers, UPI IDs, and bank credentials are collected and processed directly by our payment gateway. We never receive or store them.
Information collected automatically
Log data such as IP address, browser type, pages visited, and timestamps; a session cookie that keeps you logged in; and aggregate counts such as how many times a job was viewed.
We do not use advertising cookies and we do not sell data to advertisers.
2. WHY WE USE IT
To create and operate your account and authenticate you.
To show your profile to employers with candidate database access, and to show your applications to the employers whose jobs you applied to.
To publish job postings and match them to relevant candidates.
To send service emails: verification codes, password resets, application updates, messages, and job alerts you have opted into.
To process payments and issue invoices for employer purchases.
To verify clinic accounts and, where offered, dental council registrations.
To detect fraud, abuse, and security incidents.
To comply with legal obligations, including tax and accounting requirements.
Our legal basis is your consent, given when you create an account and provide this information for the stated purpose of finding or filling dental roles, together with our legitimate need to operate, secure, and account for the service.
3. WHO SEES YOUR DATA
Employers. If you are a candidate, employers holding an active candidate database subscription may search for and view your profile. When you apply to a job, that specific employer sees your profile and your screening answers. Your profile is not publicly visible on the open internet and is not indexed by search engines.
Candidates. If you are an employer, your clinic profile and job postings are public, including on your clinic page. Your individual account email is not shown publicly.
Service providers. We use a small number of processors: a hosting provider for our servers and database, and an email delivery provider for transactional email, and a payment gateway for employer purchases. They process data only on our instructions and only to provide their service.
Legal. We may disclose data where required by law, court order, or a valid request from a lawful authority, and to establish or defend legal claims.
We do not sell your personal data. We do not share it with recruitment agencies or data brokers.
4. HOW LONG WE KEEP IT
Account and profile data: for as long as your account is active, and for up to 12 months after you close it, so that you can reactivate. After that it is deleted or irreversibly anonymised.
Application records: retained while the employer's account is active, as they form part of their hiring record.
Payment and invoice records: retained for 8 years, as required by Indian tax and accounting law. This is a legal obligation and these records are not deleted on request.
Server logs: up to 90 days.
5. YOUR RIGHTS
You may access and correct most of your data yourself from your profile or dashboard at any time.
You also have the right to: obtain a summary of the personal data we hold about you and how it is processed; have inaccurate or incomplete data corrected; have your data erased, subject to the retention obligations above; withdraw consent, which will mean closing your account, since we cannot operate the service without this data; and nominate another person to exercise these rights on your behalf in the event of your death or incapacity.
To exercise any of these, email support@thedentalnaukri.com from your registered email address. We will respond within 30 days.
If you are not satisfied with our response, you may complain to the Data Protection Board of India.
6. SECURITY
Data is transmitted over HTTPS. Passwords are stored as salted hashes and are never recoverable in plain text. Access to the production database is restricted, and backups are taken daily and stored on the server.
No system is perfectly secure. If a breach affects your personal data, we will notify you and the Data Protection Board of India as required by law.
7. CHILDREN
The Platform is not intended for anyone under 18. We do not knowingly collect data from children. If you believe a child has created an account, contact us and we will delete it.
8. EMAILS
Transactional emails — verification codes, password resets, application status, and messages — are part of the service and cannot be switched off while your account is open. Optional emails such as job alerts can be turned off from your account settings or via the unsubscribe link.
9. DATA LOCATION
Your data is stored on servers located in India. Our email delivery provider may process email content outside India in order to deliver it.
10. CHANGES
We may update this policy. The "last updated" date will change and material changes will be notified by email or by a notice on the Platform.
